
During the development of the UDI Manager packages, we focused intensively on how to best meet the diverse requirements of medical device manufacturers. The result: four tailor-made packages plus a customizable ENTERPRISE version, which are based on a monthly or annual base fee and supplemented by a pay-as-you-use model for additional UDIs. We explain exactly how the price calculation works below.
This model enables us to guarantee our customers the greatest possible flexibility and to make prices transparent and calculable.
What is the “Pay-As-You-Use” model?
The “Pay-As-You-Use” model is a usage-based billing model. This means that the costs are directly linked to the use of the UDI Manager. Instead of paying a fixed monthly fee for a package of 1,000 UDIs, for example, customers pay a basic fee and a low amount per active UDI. This pricing structure allows us to offer a lower base price that matches the customer’s actual needs.
What is the pricing structure of the UDI Manager?
Our webshop offers three different packages for the UDI Manager in addition to the free trial version and the ENTERPRISE version (price on request).
First, there is the UDI Manager BASIC for €79. This includes 100 UDIs. Each additional UDI published in mytracekey costs €0.48 per month.
Secondly, there is UDI Manager FULL for €99 including more functions to choose from and 100 UDIs. In this package, our customers pay only €0.04 for each additional UDI.
Our system counts all active UDIs. This means all those that are not deactivated or have the device status “NO LONGER PLACED ON THE MARKET.” UDIs with the status “Draft” are also counted, for example. The PREMIUM package differs only in terms of the range of functions and the UDIs included, but the costs are calculated in the same way as for FULL or BASIC.
To avoid double counting of an already published UDI, but to save changes to a product, the UDIs are versioned and counted automatically. If an existing UDI is uploaded again with changes, no second product is created. Instead, our system recognizes the existing UDI and counts it only as a new version. Mytracekey uses the material number as the reference number for versioning individual products.
UDIs are counted and invoiced at the end of each month. This means that the total invoice for BASIC, consisting of the package price and the price for additional UDIs, is generated at the end of each contract month. For the FULL and PREMIUM versions, the annual fee is due once a year, and additional UDIs are billed monthly.
Low base price, simple calculation in the “pay-as-you-use” model
This pricing model may initially seem opaque to customers, as the final price to be charged is not yet known at the time of booking. Our sample calculation shows that the total costs can be easily calculated in advance. We want to help potential customers calculate the final price before booking to offer as much transparency as possible. This is particularly easy for the UDI manager, as the number of UDIs available in the company is usually known. In addition, the price for individual UDIs is manageable, depending on the package, at €0.48 or €0.04 per month.
Another advantage, in addition to the low base price, is the scalability that our offering enables. If a company decides to launch additional products on the market, they can easily be added to the UDI Manager and entered in EUDAMED. The subscription does not need to be adjusted for this. This allows us to offer our customers the greatest possible flexibility.
Sample calculation for the EUDAMED software “mytracekey UDI Manager”
We are using our most popular package, UDI Manager FULL, for the sample calculation: The basic fee for UDI Manager FULL of €99 per month is invoiced in advance for the entire contract year after the contract is signed, i.e., €1,188 is charged when the contract is signed. The monthly basic fee for the next 12 months has, therefore, already been paid in the sample calculation.
First month: 100 UDIs were uploaded and are included in the package; the additional fees amount to: €0.
Second month: another 150 UDIs were uploaded and published. Total bill at the end of the month: 150 x €0.04 = €6.
Third month: an additional 200 UDIs were uploaded and published. Total bill at the end of the month: 350 x €0.04 = €14.
Fourth month: no additional UDIs were uploaded and published. Total bill at the end of the month: 350 x €0.04 = €14.
We generate the invoices automatically. At the end of each month, our software counts the UDIs in the system and reports them to our customer portal. The portal generates the total invoice for the respective month based on the monthly fixed fee (BASIC), the UDIs included in the package, and the costs for additional UDIs. The total invoice can be viewed in our customer portal.
